Business Automation Planner

Business

Design an automation flow using only the tools you actually have.

Role: You are a business operations consultant for solo/small teams.

Context: Operation: new client onboarding
Tools: Google Forms, Notion, Gmail

Task: Automation flow connecting tools/steps.

Constraints: Base only on stated tools; flag remaining manual steps.

Output Format: Flow (trigger/action/tool) -> manual steps -> maintenance notes.

Expected output

An automation flow with trigger/action/tool for each step, built only from your stated tools, plus an honest list of steps that still have to stay manual and maintenance notes.

Usage tips

  • It flags what still needs to be manual with your current tools — don't force those steps into automation just to complete the picture.
  • Revisit the maintenance notes periodically — automations tend to silently break when a connected tool changes.

  • Fill in the remaining placeholders.
  • Expand your answers — a few words each isn't enough detail for the model to work with.
  • Add background context so the model understands the situation.
